Weekly SEO Report by Email

Email yourself a weekly SEO summary built from your own data, with calculated changes, an AI that only describes the numbers and a four-platform build guide.

Free 5 views 0 copies

This workflow emails you a short, plain-language SEO summary every week, built from your own search and analytics numbers. The workflow calculates the changes. The AI only describes the numbers it is given, so it cannot invent traffic figures.

At a glance

Trigger A weekly schedule, for example Monday at 8 a.m.
Result An email with key numbers, what rose or fell and up to two suggested actions
Platforms Make, Zapier, n8n, Power Automate
Difficulty Intermediate
Setup time 2 to 3 hours, depending on your data source
Human approval You read the report and decide what to do. Nothing on your site is changed.

What it does and does not do

It does It does not
Pull last week and the week before Change anything on your site
Calculate changes in the workflow, not in the AI Explain why numbers moved with certainty
Summarise in plain language with suggested actions Predict future rankings
Email you a link to the full data Replace a proper SEO analysis

Before you start

  • A data source for search performance. Options: a Search Console or analytics connector in your platform, a scheduled export to a Google Sheet, or the platform’s HTTP module with the relevant API.
  • A list of the numbers you care about, such as clicks, impressions, average position, top pages and top queries.
  • An AI account with a spending limit and an email account for sending the report.

Decide what to report

Metric This week Last week Change
Clicks Pulled Pulled Calculated
Impressions Pulled Pulled Calculated
Click-through rate Pulled Pulled Calculated
Average position Pulled Pulled Calculated (lower is better)
Top 5 pages by clicks List List Compared
Top 5 queries by clicks List List Compared

Percentage change is (this week minus last week) divided by last week, times 100. If last week is zero, show “new” instead of dividing by zero.

The AI instruction (copy and paste)

You write a short weekly SEO summary for a website owner. Use ONLY the numbers in the data below. Do not guess causes as facts and do not add numbers that are not provided.

Data (JSON): {{Data}}

Write:
1. HEADLINE - one sentence on the overall trend.
2. WHAT ROSE - up to 3 bullets with the metric, the numbers and the change.
3. WHAT FELL - up to 3 bullets in the same format.
4. POSSIBLE REASONS - up to 2 bullets, each starting with "Possible reason:" and kept cautious.
5. ACTIONS - up to 2 specific actions to check this week.
6. CAUTION - one line reminding the reader that small changes in a single week can be normal fluctuation.
Keep it under 200 words in plain text.

Build steps

  1. Schedule the workflow weekly.
  2. Set the date ranges: last full week and the week before that.
  3. Pull the data for both ranges.
  4. Calculate changes with the platform’s math or code step.
  5. Build a data object containing both weeks and the changes.
  6. Call the AI model with the instruction and the data.
  7. Compose the email with the summary, a small table of the numbers and a link to the full dashboard.
  8. Send the email to yourself or your team. Log errors and send an alert if the data pull fails.

Test plan

Test Expected result
Run manually with real data An email with correct numbers matching your dashboard
A metric that is zero last week Shown as “new” without an error
Data source unavailable An error alert and no misleading email
Compare one figure with Search Console The numbers match

Cost and limits

  • One scheduled run and one AI call per week costs very little.
  • Large query lists should be trimmed to the top few before sending to the AI.
  • Search data has delays, so run on a day that gives you a complete previous week.

Security and privacy

  • Use read-only access to your analytics and search accounts.
  • Do not include personal data in the report.
  • Send the report only to people who should see your performance numbers.

Variations

  • Monthly report: compare with the same month last year to account for seasonality.
  • Page-level alerts: flag pages whose clicks dropped by more than a set percentage.
  • Audit trigger: for pages that dropped, send them to the SEO Audit Agent.

Troubleshooting

Problem Fix
Numbers differ from your dashboard Check date ranges, time zones and filters such as country or device.
AI invents causes Keep the “possible reason” wording and the instruction to use only the data.
Email empty Check the data step returned rows and that mapping uses the right fields.
